Return & Exchange

RETURNS & REFUNDS: OUR HANDSHAKE GUARANTEE

At Polarfine, we take pride in the gear we build. If something isn’t right, we’re here to make it right. We believe in an honest day’s work and an honest return policy.

1. 30-DAY RETURN WINDOW

You have 30 days from the date you receive your gear to request an exchange or a refund. To be eligible for a return:

  • The item must be in its original packaging.

  • The item must be unworn, unwashed, and undamaged. (If it’s been out in the mud or on the job, it’s yours to keep).

  • Items that don't meet these criteria will not be accepted for return.

2. HOW TO START A RETURN

We keep it simple. Do not ship items back without contacting us first.

  1. Email Us: Send a request to service@polarfine.com.

  2. Get Confirmation: Our team will review your request and provide you with instructions and the return address.

  3. Ship It: Send the product back along with the original product list/ID. A tracking number is required so we can keep an eye on your parcel.

3. REFUNDS & STORE CREDIT

Once we receive and inspect your return (usually within 5 business days):

  • Approval: we will notify you via email if your refund is approved.

  • Original Payment: Refunds are automatically applied to your original payment method (Credit Card, PayPal, etc.) within 7-15 business days, depending on your bank.

  • Store Credit: If you prefer, we can issue store credit for your next purchase, which is often faster than a bank transfer.

4. ORDER CANCELLATIONS

Plans change, we get it.

  • Within 24 Hours: Cancel within 24 hours of purchase for a full refund.

  • After 24 Hours (But Not Shipped): If you cancel after the 24-hour mark but before the gear leaves our warehouse, we will issue a refund minus a 15% cancellation fee (to cover processing and restocking).

  • After Shipping: Once an order has been shipped, it cannot be cancelled. You will need to follow the standard return process after you receive it.

5. DAMAGED OR DEFECTIVE GEAR

If your gear arrives damaged or something is wrong from the factory, notify us immediately at service@polarfine.com. Please include a clear photo of the problem so we can fast-track your replacement or refund.

6. NON-RETURNABLE ITEMS

To keep our prices fair for everyone, certain items are final:

  • Final Sale / "Specials": Items marked as "Final Sale" or sold during clearance events are not eligible for return or exchange unless they are defective.
